Billing, your plan, and Founding Church status

Change your plan, open the Stripe portal, see your Founding Church discount, manage the kiosk PIN and team invites — and how to delete a church if you ever need to.

What this does

Covers the routine controls that live under Settings— your subscription, your team, the kiosk PIN, and the danger zone for leaving or deleting a church.

When you’d use it

You’re changing your card before a renewal. You’re adding a co-pastor to the team. The welcome-table volunteer forgot the kiosk PIN. Your church is closing and you want to be sure nothing lingers in our database. Each of these has a single place to do it, and this article points you at the right one.

Most pastors open this article once during onboarding and once again a year later. Everything else is a click in Settings.

Step by step

Your plans and what they cost

Three tiers. Every tier includes every feature — you pay for capacity, not modules.

  • Starter — $12/month (or $10/month billed annually). Up to 100 people, 3 team members. For churches just getting off spreadsheets.

  • Essentials — $29/month (or $24/month billed annually). Up to 300 people, 10 team members. The middle tier that fits most churches.

  • Growth — $59/month (or $49/month billed annually). Unlimited people, unlimited team members. For churches with multiple ministries.

Caps are soft — you’ll see a banner on the billing page when you’re at 80% of the tier’s limit, and a second one when you’ve crossed it. Nothing blocks check-in or invites on a Sunday morning.

Change your plan

  1. Open billing. From Settings, tap Manage billing → in the Plan card, or go directly to /settings/billing.

  2. Choose a tier.The three cards sit side by side with monthly and annual options at the top. The recommended tier for your church size is highlighted — you don’t have to do the math.

  3. Click Subscribe.You’ll be sent to Stripe’s checkout to enter a card. After payment, you land back on the billing page with your new plan active.

Open the Stripe portal

For changing the card on file, downloading invoices, updating the billing email, or canceling outright, you go through Stripe’s own portal — not a copy of it inside the app.

  1. Go to billing. /settings/billing. The Manage subscriptioncard appears once you have a Stripe customer record (i.e. once you’ve subscribed at least once).

  2. Click Manage billing.A new tab opens at Stripe with your payment method, your past invoices, your upcoming charges, and a Cancel button. It’s the same portal Stripe gives every business that uses them — nothing custom, nothing hidden.

  3. Make the change. Updates take effect right away. Canceling keeps you on the plan through the end of the current billing period, then drops you to the free tier.

Your Founding Church discount

The first 15 churches on Ministry Manager are Founding Churches. During launch, you’re free — no card, no charges. When billing formally opens, you’ll get a personal email with a checkout link, and your 75% off forever pricing is already locked in (any plan, any time, including tiers we add later).

  1. Check your status. Open /settings/billing. If you’re a Founding Church and haven’t subscribed yet, you’ll see the You’re a Founding Churchcard instead of the pricing grid — that’s the confirmation.

  2. See the discounted prices. Once your subscription is active, the same billing page shows the three tiers with your discounted price on each card and the regular price struck through beneath. A Founding Church badge sits next to your plan name on the Current plan card.

  3. Move tiers freely.The 75% discount follows you across every tier — upgrading from Starter to Essentials still bills at the discounted rate. You don’t have to renegotiate.

Manage the kiosk PIN

The kiosk PIN is the 4-digit code that gates exit from kiosk mode — the iPad-on-a-stand setup at the welcome table. Owners and admins can set or rotate it without ever launching the kiosk.

  1. Open the Kiosk section. On Settings, scroll to Kiosk. If you don’t see this row, your role doesn’t have permission — ask an owner.

  2. Set or change the PIN. If no PIN is set yet, tap Set PIN. If one already exists, tap Change PIN. Type the 4 digits twice to confirm and save. The PIN is hashed in the database — we can’t read it back to you, so write it down somewhere safe.

  3. If your volunteer forgets the PIN on Sunday. They can tap Forgot PIN?on the kiosk lock screen, and a 6-digit recovery code lands in every owner’s and admin’s inbox. The code expires in 10 minutes and only unlocks the exit — you’ll set a new PIN from Settings afterward.

Manage team invites

The team list shows everyone who can sign in to your church. Owners and admins can invite more.

  1. Open the Team section. On Settings, scroll to Team. Existing members are listed with a role badge next to each name.

  2. Send an invite. In the Invite a team member card, enter their email and pick a role: Member for a volunteer who needs to see the directory and check people in, Admin for someone you trust with settings, billing, and the connect card. Tap Send invite. They’ll get an email with a one-click link to join.

  3. Pending invites show up too.Anyone who hasn’t accepted yet appears in the list with a (pending)tag. If they lost the email, send the invite again with the same address — the link will still land in the same inbox.

Team-member counts roll up against your tier cap. The Starter tier covers 3 team members, Essentials covers 10, and Growth is unlimited. The cap is soft — you can invite past it, and you’ll see a banner on the billing page nudging you to bump up when it makes sense.

How to delete a church

If you ever need to close your church account, the deletion is immediate and permanent. There’s no 30-day grace period — that’s deliberate. We don’t want a hidden window where your data still exists somewhere you can’t see it.

  1. Open the danger zone. Go to /settings/account — the Account & danger zone page. Owners see a Delete this church section.

  2. Read the impact list.The section spells out exactly what gets erased — the people count, the team count, and that your Stripe subscription will be canceled at the same moment. Read it once before clicking anything.

  3. Confirm twice. Type your church name to confirm, then enter your password. Click Delete this church. The Stripe subscription is canceled, every people record, attendance check-in, message, note, group, follow-up, and connect-card submission is cascade-deleted, and you’re signed out.

A small audit row (church name, who deleted, when) is retained so we can answer the question “was my church really deleted?” later. No people data remains. If you’d rather just step away as one person and leave the church running, the same page has a Leave this church action for non-sole-owners.

About your privacy

Your church’s data is not our product. We don’t sell it, we don’t show ads on top of it, and we don’t train AI models on it. The only data that ever leaves our database in aggregate is a small weekly metrics payload (attendance counts, visitor first names, follow-up counts) sent to Anthropic to write your Monday summary — no notes, no prayer requests, no emails, no phones. Row-level security at the database layer means even if someone bypassed the app, the database itself would refuse to hand over another church’s data. If something goes wrong

  • The Stripe portal won’t open.If you haven’t subscribed yet, the Manage subscription card doesn’t appear — Stripe only creates a customer record at first checkout. Subscribe to any tier once and the portal becomes available.

  • Your card was declined. The current plan card shows a Payment failedbanner in red. Open the Stripe portal from the same page, replace the card, and the charge retries automatically. You don’t lose access during the grace period — nothing in the app is gated by a single failed charge.

  • You can’t see the Founding Church card. If your subscription is already active, the Founding Church status card stops rendering and the normal billing UI takes over — the badge on your Current plan and the discounted prices on the tier cards are the confirmation from that point on.

  • You can’t delete a team member from the list. Remove-a-member from the team UI ships in a later release. For now, email support@ministrymanager.io and we’ll handle the removal.

  • You’re the only owner and want to leave. The Leave button won’t fire — promote another member to owner from the team list first, or delete the church outright if you’re the only one left. We won’t silently orphan a church.

  • You deleted a church and want it back.We can’t restore it. If a deletion happened in the last few days, email support@ministrymanager.io right away — our database provider keeps point-in-time backups for a short window, but past that window the data is gone.
